Gemini folders: Notebooks, pins and how to organize chats

As of October 2026, the closest thing Gemini has to folders is Notebooks. Click New notebook in the side panel, then add any past chat to it from that chat's three-dot menu. Notebooks are free on the web and also available on mobile. There's one catch, though: Gemini uses every chat in a notebook as context for your answers there, so a notebook changes how Gemini replies. If all you want is to file chats away, your native options are pinning and the search-history page, or a folder extension.

A lot of pages still say "Gemini has no folders." That was true until April 2026, so if you read it somewhere, check the date. Below is what Gemini actually offers now, where each tool fits, and a short table to help you pick.

I build TidyChats, a browser extension that adds folders and search to Gemini and other assistants, so I spend a lot of time in each of them. I'll stick to the native features first.

Gemini Notebooks: what they are and who gets them

Google rolled Notebooks out in three steps:

  • April 8, 2026: launched on the web for Google AI Plus, Pro and Ultra subscribers, per Google's announcement of Notebooks in Gemini. You create one with New notebook in the side panel, move past chats into it and add files. Notebooks also sync both ways with NotebookLM.
  • April 17, 2026: free users got Notebooks on the web, as 9to5Google reported. You can add any chat from its three-dot menu.
  • April 30, 2026: Notebooks reached the mobile apps, according to Android Authority, with a broader rollout in Europe still pending at the time of that report. If you're in Europe and don't see it yet, that's likely why.

A leak from early April talked about Gemini "Projects." Judging by the timing, that seems to be what shipped as Notebooks, so older articles about Gemini Projects being broken or missing are out of date.

Source limits per notebook

Each notebook has a cap on how many sources it can hold. 9to5Google lists these limits per notebook:

  • Free: 50 sources
  • AI Plus: 100
  • AI Pro: 300
  • AI Ultra: 600

For most people, 50 is plenty for one topic. It's a limit to keep in mind if you planned to use a single notebook as a dumping ground for months of chats.

Why a notebook doesn't behave like a folder

A folder only holds things. A notebook holds things and also feeds them into the conversation. When you chat inside a notebook, Gemini uses every chat in that notebook as context. That's the whole point of the feature, and it's great when the chats belong together: a research topic, a long writing project, a codebase you keep asking about.

It works against you when you just want tidy filing. Say you drop all your "Work" chats into one notebook. Now an answer about a quarterly report can be shaped by an old chat about a job description, because they share a container. And my guess is that the more unrelated chats you add, the muddier that shared context gets.

People have been asking Google for exactly this separation. One feature request on the Google AI developer forum from July 2026 puts it this way: "The memory feature is 'all or nothing.' With this enhancement, a user could enable memory strictly for a 'Work' folder."

My take: use notebooks for a few topics where shared context actually helps. Don't turn them into a filing system for hundreds of one-off chats.

Pinning and renaming chats

Pinning is the lightweight option, and it's been around longer than notebooks. According to Google's help page on managing Gemini chats, pinned chats show at the top of your Recent list. From the same menu you can rename a chat, which helps more than people think, because auto-generated titles are hard to tell apart.

The same page notes that deleting a chat also removes it from your Gemini Apps Activity.

Pins work for the handful of chats you return to every week. Past that, the pinned list becomes another long list.

Searching your Gemini history

Gemini has had a dedicated search page at gemini.google.com/search-history since May 2025, as 9to5Google covered at the time. Results show the chat name and a matching line.

Google doesn't document exactly which parts of a chat are searched, so I wouldn't assume it finds every word deep inside a long reply. If you're hunting for something specific, try a few different phrasings.

Good titles plus this search page cover a lot of people's needs. If you can find what you want in ten seconds, you may not need folders at all.

How long Gemini keeps your chats

Organizing chats only helps if they're still there. Per Google's Gemini Apps Activity help page, activity auto-deletes after 18 months by default. If you turn Keep Activity off, chats are kept for up to 72 hours.

If you rely on old Gemini chats as a reference, check that setting before you spend time organizing. A notebook or a pin doesn't help much if the chat ages out later.

Backing up your chats with Google Takeout

To get a copy of your Gemini chats, use Google Takeout (takeout.google.com) and select My Activity → Gemini Apps. The obvious choice, the product called "Gemini," exports your Gems, not your chats. The University of Michigan's guide to exporting Gemini chat history walks through it step by step. You get a ZIP with HTML files.

Takeout won't help you organize anything, but it's worth doing once if your chats matter to you. (Grok's export is a different kind of mess; I wrote about that in how to export a Grok chat.)

Multiple Google accounts

If you use Gemini with a personal and a work Google account, each account has its own separate history. A chat you started under one account doesn't appear under the other, as a third-party tool's write-up describes it. That matches how Google accounts work everywhere else, but it's easy to forget when you're switching between accounts in one browser.

A quick check: the URL shows which account you're in (gemini.google.com/u/0, /u/1 and so on). If a chat seems to have vanished, switch accounts before assuming it's gone.

My rough rule: notebook when you want Gemini to remember the related chats, pin when you just need a shortcut, folder when you want order without affecting answers.

Folders for Gemini with TidyChats

If you want plain folders, TidyChats is one option. It's a Chrome extension that adds a "TidyChats" section above Gemini's own chat list on gemini.google.com, with "My folders", "Pinned chats" and "Search all chats".

How it works on Gemini:

  • Folders that only file. Create a folder with the "+" in the sidebar header, then drag chats from Gemini's sidebar onto it, or use "Add to folder…" in the chat menu. Subfolders nest without limit. Folders are stored in your browser (and synced to your TidyChats account if you sign in), and they're never sent to Gemini as context, so they don't change any answers. If you delete a folder, the chats stay in Gemini.
  • Multiple Google accounts. Accounts in Gemini (/u/0, /u/1 and so on) are kept apart. Lists and search show the account you're currently using, so work and personal chats don't mix.
  • Full-text search. TidyChats syncs your Gemini history through Gemini's internal web API using your existing session. If that fails, it falls back to "Reading Gemini chats page by page in a small window". Search matches words and phrases in every message, not just titles. It's keyword matching, not semantic search.

Limits:

  • Gemini's internal API is undocumented, so a Gemini update can break syncing until I fix it.
  • There's no bulk delete on Gemini. The "Manage chats" view says "Gemini has no API for deleting chats from an extension. You can still export, tag and organize them here."
  • The free plan gives you 2 top-level folders per platform (with unlimited subfolders) and shows 5 search results per search. Premium is bought per platform; prices are on the pricing page.
